Member communication: separate internal notes and released messages
Good member communication requires a clear connection: Who does the information belong to, and who may see it? My Gym App assigns messages to the member profile and differentiates internal entries from explicitly released content.

Organize messages where the member is managed
The member profile contains its own message area. The verified list includes subject, status, priority, and visibility in the customer app, among others. Search and filters help locate information. This allows a care note to be directly linked to the member instead of being lost in a separate file without clear assignment.
Internal note or information for the member?
The interface explicitly indicates that messages remain internal until visibility in the customer app is activated. This release is a conscious decision. Therefore, the team should verify whether content is an internal work note or actually intended for the member. Especially sensitive information should not be published unchecked in general visible messages.

Release is not a delivery guarantee
Visibility in the member area and sending via an external channel are separate functions. The verified message area here does not imply automatic WhatsApp, SMS, or email delivery. Notification channels must be individually reviewed and configured. It is crucial that members know where to find released information.
Establish a uniform team workflow
Meaningful subject lines, clear responsibilities, and a common storage location facilitate care. Test with a test member how an entry is created, handled internally, and released if necessary. Also define which content is to be archived and which information should not be recorded in a message. This turns a feature into a comprehensible workflow.
How to check the process in a demo
- Open the affected member and message area.
- Enter subject and content for the specific care purpose.
- Decide whether the entry remains internal or is released for the customer app.
Frequently Asked Questions
Does the member see every internal note?
No. The verified view distinguishes internal entries and explicit release for the customer app.
Is this an automatic WhatsApp delivery?
No. An entry in the customer app is not the same as sending via WhatsApp, SMS, or email. Such channels require separate review and setup.
